Privacy Policy

This Privacy Policy explains what information Ten-Four, operated by Trueplace Technologies Inc., collects, how it is used, who processes it and the choices you have.

Last updated:

Ten-Four is not affiliated with any police or fire department, civil service commission or testing company.

Information we collect

We collect information you give us when you create an account, answer the onboarding questions, practice mock boards or contact us. This includes your name and email address, the board you are preparing for (for example police sergeant, firefighter or 911 dispatcher) and when it is, the department's name if you choose to give it, what worries you about the board, and your plan and billing status when you start a trial or subscription.

When you practice, we collect the content of your sessions: audio and, if you turn your camera on, video recordings, transcripts, and the scores and feedback generated for you.

We also collect usage data about how you use Ten-Four, such as the pages and features you use, performance data, and device and browser information.

  • Payment details. Stripe runs checkout and holds your card details. We never see your full card number. We can see your plan, trial and billing dates, payment status, billing country and the card brand and last four digits.
  • Coarse location. Your approximate location, such as your country, from your IP address. We do not collect your precise location.
  • Messages you send us. If you email hello@tenfourprep.com, we receive your email address and whatever you write, so we can reply.

How we use information

  • Run your mock boards, build your plan and write your feedback.
  • Run checkout, manage your trial and subscription, and answer support requests.
  • Keep Ten-Four secure, prevent fraud and misuse, and fix problems.
  • Research, develop and improve our products and services, including AI and machine learning models.
  • Meet legal, tax and accounting obligations and enforce our Terms.

We don't sell or rent your information.

Who processes your information

We use service providers to run Ten-Four: cloud hosting and databases, sign-in and account security, real-time voice and video for mock boards, AI model providers that run the panel and write feedback, payment processing and product analytics. They process information on our behalf and only for these purposes.

Your mock boards are processed by these services, only to provide Ten-Four:

  • LiveKit carries the live call.
  • Cartesia and Deepgram turn your speech into text, and Cartesia gives the panel a voice.
  • Google (Gemini) plays the panel.
  • OpenRouter and Anthropic (Claude) grade your answers and write your feedback.
  • Mux stores and plays back your practice video recordings.
  • Stripe runs checkout and processes payments.

We may also share information when the law requires it, to protect our users and our rights, or as part of a merger, acquisition or sale of the business, in line with this policy. These providers may process information in the United States and other countries.

How long we keep information

We keep your account information and your practice sessions, including recordings, transcripts, scores and feedback, for as long as your account is open so you can review your progress. When you ask us to delete your account, we delete this data within 30 days, except for records we must keep for legal, tax or fraud-prevention reasons, such as payment records.

Your choices

You can update your details, ask for a copy of your practice history or close your account at any time by contacting us. You can ask us to delete your account and its data at any time.

For questions about this policy or to use your privacy rights, email us at hello@tenfourprep.com. We answer every request.
